We are seeking an Events Coordinator to manage all FDF events and produce compelling marketing materials.

We are seeking a dynamic and highly organised Events Coordinator to join our Commercial team. The successful candidate will play a pivotal role in ensuring the seamless coordination of FDF events, managing the FDF Awards, and producing compelling promotional materials.

As the Events Coordinator, you will work cross-functionally, collaborating particularly with the Digital and Comms team to uphold FDF's style and branding guidelines.

Key responsibilities

Events

  • Coordinate FDF events across teams, engaging colleagues early in the planning process and clarifying responsibilities.
  • Manage the VIP guestlist for commercial events, recording RSVPs on the CRM system.
  • Serve as the point of contact for guest speakers, produce event slide decks and send out attendee joining instructions.
  • Produce post-event delegate surveys, analyse results, and provide feedback and recommendations.
  • Keep detailed work plans and timelines, updating the commercial planner.
  • Collaborate with the Comms Team to ensure the comms plan is current.
  • Monitor the effectiveness of all FDF commercial events campaigns, producing reports and recommendations.
  • Create targeted distribution lists in the CRM for mailers and manage the events inbox.
  • Essential to this role are occasional early starts and evening working to deliver FDF events.

FDF Awards

  • Take ownership of the initial FDF Awards programme: launching, managing entries, reviewing and shortlisting, coordinating the judges.
  • Manage the FDF Awards promotional campaign: producing engaging materials and all social media campaigns, promoting the entry process, collaborating with sponsors and the Digital and Comms Team.
  • Manage the design process for the creation of the books given to attendees of the FDF Industry Dinner and FDF Awards.

Marketing/Design

  • Produce high-quality materials for FDF events, including digital mailers and hard copies.
  • Create, write content and manage the commercial events webpages.
  • Produce the FDF monthly events newsletter.

Requirements

  • Experience of handling multiple projects simultaneously is important.
  • Experience with video digital editing software packages is an advantage.
  • Experience with all social media platforms and how to leverage the best.
  • Experience of working with external contractors and third party suppliers, including design agencies.
  • Experience with events planning is an advantage.
  • Excellent IT skills, experience of Microsoft Office suite, databases, content management system, market research software (e.g. Survey Monkey)
  • An understanding of the key components of the commercial services operation, including events planning, the marketing mix, sales, and sponsorship is an advantage.
  • Strong design skills - experience of Canva, InDesign and similar design packages is an advantage.
  • Proficient with both a PC and MAC computer.
  • Excellent writing skills and a good eye for design.
  • High attention to detail and the ability to proof-read copy.
  • Good project management skills.
  • Good analytical skills with the ability to produce reports and recommendations from data analysis.
  • Knowledge of MailChimp is desirable.
  • Able to motivate colleagues with different priorities and working styles to collaborate and achieve objectives.
  • The ability to be flexible and respond calmly to short-notice changes.
  • Provide professional advice to colleagues unfamiliar with marketing and design challenges.
